5 (MORE) TIPS FOR THE SAVVY GLOBAL PLANNER

We are continuing our list of tips to help the global meeting planner avoid the obstacles and host an international event to remember.
As noted in our previous blog post, we understand the challenges that meeting planners must overcome when coordinating a global meeting or convention in order to create the ultimate delegate experience. There’s a thousand things that could go wrong, and it’s up to you to be prepared. Luckily our team has curated another five helpful planning tips for consideration when organizing your next international event.
1. NURTURE YOUR DELEGATES
Ongoing communication with your delegates is key. Assume that your delegates know nothing about traveling or the meeting destination. Inform and educate them on everything that the destination has to offer. Give them tips on culture, customs, currency, electrical compatibility, and time zones to name a few.
2. ENGAGE DELEGATES SOCIALLY
Enhancing your organization’s social media game is a great way to elevate your delegates’ experiences. Create an app that contains all the useful information for your meeting, spark the conversation on Twitter or encourage their participation on Instagram, the possibilities are endless. At the Vancouver Convention Centre we can help by highlighting the social media on our interactive display in the lobby of the West Building.
3. CELEBRATE THE LOCAL CULTURE
When in Rome…Celebrate the destination. It’s likely that your meeting destination has its own diverse and unique culture, so flaunt it! Incorporate local culture into the conference program, food and beverage selection and special event production.
4. KEEP ON TOP OF VISA REQUIREMENTS
Check for up to date visa requirements of the country you are meeting in and where your delegates are traveling from. This is vital information for yourself and your delegates and could potentially avoid some unfortunate mistakes.
5. KEEP YOUR ATTENDEES SAFE
Know where the nearest hospital is from your venue and the number to call to handle an emergency. 911 is not universal. In the event of an emergency it is also crucial to know where your own medical/safety resources are (i.e. first aid kits, fire extinguishers, fire exits, etc.)
